Give your agent the event facts, dated audience evidence, approved packages and current inventory. Ask for a prospectus that separates past attendance from forecasts, benefits from guaranteed results, and a package description from a confirmed reservation. Review every claim before sharing the static page.

Start with the evidence. Shape the page around the reader.

  1. Describe the audience you can substantiate

    State what an audience figure measures and when. Last year's attendance is not this year's confirmed audience, and registrations are not the same as attendance. Omit demographic claims if no approved evidence supports them.

  2. Compare actual package benefits

    List the exact included placement, activity or access for each package. Keep price conditions and exclusions beside the price. A vague promise of exposure does not help a sponsor understand what you will actually provide.

  3. Make scarcity and timing factual

    Include the date inventory was checked and make confirmation the next step. Do not create artificial urgency or imply that viewing a page holds a slot. Keep proposed event details separate from confirmed ones.

  4. Keep agreement outside the reading page

    Use HTML for an accessible package comparison and audience explanation. Link only to an approved enquiry or application route. Reservations, payment and contractual agreement remain in the event's established systems; the page promises no leads, attendance or return.

When another format fits better

Use the event's application, agreement and payment systems to reserve or purchase sponsorship. The page is not live inventory or an attendee-data delivery mechanism.

Can I show last year's audience?

Yes, with the year and measurement clearly labeled. Do not present it as this year's committed attendance or forecast.

How do I keep package availability current?

Show when it was checked and require confirmation through the normal process. Review and update the page when inventory changes; it does not synchronize automatically.

Should I promise a sponsor leads?

Describe the benefits you are authorized to provide. Do not turn access or visibility into a guaranteed commercial outcome, and do not include attendee contact data without an independently approved process.
